Terms & Conditions - Dale McLean Training

Effective Date: 06 October 2025
1. Introduction

These Terms and Conditions apply to all courses, qualifications, and training services provided by Dale McLean Training, operating in partnership with BODYCORE Training Ltd (“BODYCORE”).

By enrolling on a course or purchasing a training product, you confirm that you have read, understood, and agreed to these Terms and Conditions.

2. Refund Policy

All course purchases are final.

Once payment has been made and access to electronic materials or BODYCORE’s learning platform has been granted, no refunds will be issued.

This policy applies to all full payments, deposits, and payment plans.

By enrolling, you accept that course access begins immediately upon payment and therefore waives any right to a cooling-off period under UK distance selling regulations.

3. Payment Terms

  • By paying a deposit, you agree to complete the remaining balance in full.

  • Payment plans must be completed according to the agreed schedule.

  • Certificates and assessment results will not be released until all payments have been made in full.

  • Failure to meet payment terms may result in access being suspended and additional administrative fees being applied.

4. Registration Requirements

To access your course, you must:

  • Complete the official BODYCORE registration form.

  • Provide valid proof of identification.

  • Agree to BODYCORE’s registration and awarding body terms.

Certificates will not be issued until all required registration documents and ID have been received.

5. Course Completion Timeframes

First Aid Courses

  • All First Aid learners must complete the online theory exam before attending the face-to-face practical session.

  • Learners then have 6 weeks from the date of their exam to attend the practical workshop.

  • Certification will only be issued once both the online theory and the full practical assessment have been successfully completed.

  • Learners must attend the full required contact time for the practical session to meet qualification standards.

  • All learners must also be physically fit enough to:

    • Perform CPR on the floor.

    • Place a casualty into the recovery position.

    • Demonstrate other required first aid skills safely and effectively.

Failure to meet these physical and attendance requirements may result in the learner being unable to achieve certification.

Fitness Qualifications

  • Level 2 Gym Instructor – must be completed within 6 months.

  • Level 3 Personal Trainer – must be completed within 6 months.

  • Elite PT (combined Level 2 & 3) – must be completed within 6 months total.

  • All CPD courses – must be completed within 1 year.

  • 52 Mini CPDs – can be accessed at any time.

If a course is not completed within the allocated time:

  • Learners may apply to re-register for an additional fee:

    • £150 per qualification, or

    • £300 late reactivation fee for the Elite PT course.

  • Extensions may be granted only in exceptional circumstances at the discretion of Dale McLean Training and BODYCORE.

6. Attendance and Practical Session Policy

First Aid Courses

  • All practical First Aid sessions are mandatory and must be attended in full to achieve certification.

  • Learners must arrive promptly at the scheduled start time. Late arrivals will not be permitted to join the session and will not be rescheduled.

  • If a learner fails to attend their booked practical session without providing at least 24 hours’ notice, the session will be forfeited and will not be rescheduled.

  • In cases of genuine emergency or exceptional circumstances, rescheduling may be considered at the discretion of Dale McLean Training.

  • Replacement sessions may incur an additional booking fee to cover venue and instructor costs.

Fitness Qualifications (PT Mentor® Sessions)

  • PT Mentor® sessions are delivered by self-employed assessors working under BODYCORE.

  • Failure to cancel or reschedule a PT Mentor® session with at least 24 hours’ notice will result in the loss of that session.

  • Learners are expected to arrive on time and fully prepared for each session. Late arrivals may result in the session being forfeited.

All PT Mentors are approved and quality-assured by BODYCORE and Dale McLean Training.

7. Certification

Certificates will only be released once:

  • All course components have been completed and passed.

  • All payments have been made in full.

  • Required registration and ID documents have been submitted and verified.

8. Complaints and Appeals

By enrolling, you confirm that you have read and agree to the following:

  • Complaints Policy – detailing how to raise a concern about course delivery or service.

  • Appeals Policy – outlining how to formally challenge an assessment decision.

Both policies are available upon request or can be accessed through Dale McLean Training.

9. Academic Integrity

All coursework and assessments submitted must be your own authentic work.
Any evidence of plagiarism, falsification, or unethical conduct will result in disciplinary action, which may include withdrawal from the qualification and notification to the awarding body.

10. Data Protection

Your personal data will be handled in accordance with UK GDPR and the Dale McLean Training Privacy Policy.
Some information will be securely shared with BODYCORE for registration, certification, and verification purposes only.
We will never share your data with third parties for unrelated marketing.

11. Liability

Dale McLean Training will not be held responsible for any indirect, consequential, or incidental damages arising from participation in training, including loss of income, employment, or opportunities.

Learners are responsible for ensuring they meet all entry requirements and complete the course within the set timeframe.

12. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of Scotland and the United Kingdom.

Any disputes arising will be subject to the exclusive jurisdiction of the Scottish courts.
