Refunds & Cancellations Procedure
Effective Date: 06 October 2025
1. Introduction

Dale McLean Training is committed to delivering high-quality training and fair, transparent business practices. This Refunds & Cancellations Procedure explains our approach to course purchases, cancellations, and rebooking.
Due to the nature of our courses, which involve immediate access to digital materials and the allocation of trainers and assessors, refunds are limited and subject to the conditions outlined below.

2. Scope

This policy applies to:
-
All learners purchasing courses directly from Dale McLean Training
-
Blended learning, online, and face-to-face courses
-
Courses delivered independently or in partnership with BODYCORE Training Ltd
This policy applies to all payments, including:
-
Full payments
-
Deposits
-
Payment plans
3. No-Refund Policy for Digital Course Access

Once payment has been made and access to digital learning materials or the BODYCORE learning platform has been granted, no refunds will be issued.

This is because:

-
Digital content is made available immediately
-
Administrative setup begins straight away
-
Trainers, assessors, and support staff may be allocated to the learner
By enrolling, learners acknowledge that course access begins immediately and waive any right to a cooling-off period under UK Consumer Contracts Regulations (2013).
4. Cancellations and Rebooking

(24-Hour Notice (Rebooking Only)
If a learner is unable to attend a scheduled session due to illness or unforeseen circumstances, and provides at least 24 hours’ notice, Dale McLean Training may offer:

-
A one-time rebooking onto a future course date
-
No refund will be issued
Rebooking is subject to availability and must be arranged within a reasonable timeframe agreed by both parties.

5. Late Cancellations & Non-Attendance

If less than 24 hours’ notice is given, or a learner does not attend without notice:

-
No refund will be issued
-
Rebooking is not guaranteed
This is due to trainer costs and venue arrangements already being incurred.

6. Exceptional Circumstances

In exceptional circumstances, Dale McLean Training may, at its discretion, consider alternative arrangements. Any such decisions will be made on a case-by-case basis and do not set a precedent for future cases.

7. Our Responsibilities

Dale McLean Training ensures that:

-
Refund and cancellation terms are clearly communicated before purchase
-
Policies are applied fairly and consistently
-
Learners are treated with respect and understanding
Where a course is delivered or certified through BODYCORE, Dale McLean Training will liaise with BODYCORE where appropriate.

8. Record Keeping

All cancellation requests and outcomes are documented and stored securely in line with UK GDPR requirements. Records are retained for quality assurance and audit purposes.
